Team Owner Workflows
This guide provides step-by-step instructions for common team management tasks on Rugby Network.
Team Management
Create a New Team
- Navigate to My Teams in the main menu
- Click Create Team
- Enter team details:
- Team Name: Your team's official name
- Location: Where your team is based
- Click Create
Edit Team Details
- Go to My Teams
- Click on the team you want to edit
- Click Edit Team
- Update the information
- Click Save
View Team Dashboard
- Go to My Teams
- Click on a team name
- View the dashboard showing:
- Team information
- Upcoming events
- Open needs
- Recent commitments
- Team statistics
Event Management
Create an Event
- From your team dashboard, go to Events
- Click Create Event
- Fill in the details:
- Event Name: e.g., "League Match vs. Eagles"
- Description: Match details, meeting time, etc.
- Location: Venue address
- Start Time: When the event begins
- End Time: When the event ends
- Click Create
Edit an Event
- Go to your team's Events
- Click on the event to edit
- Click Edit
- Make your changes
- Click Save
Delete an Event
- Go to your team's Events
- Click on the event
- Click Delete
- Confirm the deletion
- Note: Associated needs will need to be managed separately
Need Management
Post a New Need
- From your team dashboard, go to Needs
- Click Post Need
- Fill in:
- Position: Which position you need
- Quantity: How many players needed
- Event: Link to an event (optional)
- Start Time: When you need the player
- End Time: When the commitment ends
- Notes: Any additional requirements
- Click Create
Edit a Need
- Go to your team's Needs
- Click on the need to edit
- Click Edit
- Update the information
- Click Save
Update Need Status
- Go to your team's Needs
- Find the need
- Click Edit
- Change the status:
- Open: Still looking for players
- Filled: Position has been filled
- Cancelled: No longer needed
- Click Save
Cancel a Need
- Go to your team's Needs
- Find the need
- Click Edit
- Set status to Cancelled
- Click Save
Or use Delete to remove it entirely.
Finding and Managing Players
Browse Available Players
- From your team dashboard, click Browse Players
- Use filters:
- Position: Filter by position needed
- Availability: Filter by available time slots
- Review player profiles
- Check their:
- Positions they play
- Current availability
- Existing commitments
View Player Details
Click on a player to see:
- Profile information
- All positions they play
- Their availability windows
- Any notes they've added
Create a Commitment
- From Browse Players, find a suitable player
- Click on the player to view details
- Click Create Commitment
- Select:
- Need: Which need this fills (optional)
- Position: What position they'll play
- Time: When the commitment is for
- Click Confirm
The system will check for conflicts and create the commitment.
View Team Commitments
- From your team dashboard, go to Commitments
- View all commitments for your team
- Each commitment shows:
- Player name
- Position
- Event/time
- Status
Cancel a Commitment
- Go to your team's Commitments
- Find the commitment
- Click Cancel
- Confirm the cancellation
The player's schedule will be freed up.
Team Owner Management
Understanding Owner Roles
- Primary Owner: Full control over the team
- Secondary Owners: Can manage events, needs, and commitments
Add a Team Owner
(If supported in your version)
- Go to team settings
- Click Manage Owners
- Add the user by email or ID
- Set their role (Primary/Secondary)
- Save changes
Tips and Best Practices
Effective Need Posting
- Be specific about positions - Use the exact position name
- Include time details - Accurate times help players plan
- Link to events - Provides context for players
- Add notes - Explain any special requirements
Finding the Right Players
- Check availability first - Filter by when you need them
- Review positions - Ensure they play what you need
- Look at experience - Player bios can be helpful
- Consider multiple players - Have backups ready
Building Team Reputation
- Honor commitments - Don't cancel unless necessary
- Communicate clearly - Use notes and descriptions
- Update promptly - Keep statuses current
- Be organized - Plan events and needs ahead of time
Troubleshooting
Cannot Create Commitment
"Player has a conflict": The player already has a commitment during that time. Choose a different player or time.
"Need is filled": Update your need status or increase quantity if you need more players.
Events Not Showing
- Verify the event was saved successfully
- Check if it's in the past (past events may be filtered)
- Refresh the page
Players Not Visible
- Ensure players have added availability
- Check your filters
- Try clearing all filters to see all players
Need Status Issues
- Only team owners can update need status
- Ensure you're logged in as the team owner
- Refresh if changes aren't appearing
